Privacy policy

Who are we?
We are the Fullerians Rugby Football Club; an Unincorporated Association that promotes the playing of rugby union football in accordance with the laws and policies of the Rugby Football Union (RFU). We may stage other sporting, social and recreational activities for members of the Club or community groups.
How do we process and protect data?
We process personal data fairly, transparently and according to UK law on data protection. We:
Only collect personal data for specified, explicit and legitimate purposes.
Ensure personal data is adequate, relevant and limited to what is necessary.
Ensure personal data is accurate and kept up-to-date and is not kept for longer than is necessary.
Ensure appropriate security of the personal data, including protection against unauthorised or unlawful processing and against accidental loss, destruction or damage, using appropriate technical or organisational measures.
What data do we collect, and why?
We collect personal data directly from you so we can:
manage and administer your membership benefits
manage and administer subscriptions or charges for specific events; tours, socials, hire of facilities
manage and administer relevant medical data (e.g. injuries, concussion) to meet our duty of care towards you
pass selected membership data to the RFU for their wider governance purposes
meet other legally mandated requirements e.g. CV-19 Track & Trace data. In these circumstances we carry out a Legitimate Interest Assessment before processing the data.
Do we share data?
Data is shared with the RFU on their Game Management System accessed through a Secure Socket Layer using a cryptographic key. Pitchero, a UK based website hosting company, are our data processors. They operate exclusively on Amazon Web Services data centres. We will not pass your data to any organisation based outside the EU without your explicit and specific agreement on every occasion.

What are your rights as a data subject? You have the right to be informed, the right of access, the right to rectification, the right to erasure, the right to restrict processing, the right to data portability, the right to object. Cookies. We use cookies on our website. The website uses session cookies to identify the user and track the user's identification status. Session cookies are automatically erased from the hard drive when the session is terminated. Cookies are also used to enable navigation on the website and to collect anonymous statistical data to analyse the ways in which visitors use the website with the goal of improving it

Terms and Conditions

Membership subscriptions

The following sets out the terms and conditions of membership;
The club’s membership is annual and runs from 01 August to 31 July.
By purchasing a subscription to Fullerians RFC you are agreeing to pay for 12 months of membership.
Subscriptions are due in advance each year on 01 August.
An ‘Early-bird’ discount of 10% is available to existing members for subscriptions paid in full before 01 September.
By purchasing a subscription to Fullerians RFC you are agreeing to adhere to the club’s policies, including, but not limited to, those concerning conduct, discipline, and grievance.
All paid up members* are entitled to vote at the club’s Annual General Meeting and any Extraordinary General Meetings, as called according to the Club’s Articles of Association.
Members are also entitled to the use of the club house and club facilities during the normal course of rugby operations.
Fullerians RFC is an inclusive amateur club open to everyone who wishes to participate in Rugby Union. If any of the membership packages present a significant barrier to anyone wishing to play the game the individual should discuss the matter with their Head Coach who will consult the Committee about alternative payment options.

Refunds;
Subscriptions can be refunded in full if purchased before 01 September.
A 50% refund can be payable up until 01 October. For subscriptions purchased after 01 September a full refund can be obtained within three (3) weeks of original purchase.
After this time no further refunds will be granted.
Subscriptions purchased after 31 December may be discounted by up to 50%. Any discount is at the discretion of the Club’s Management Committee.

*To eligible to vote members must be at least 18 years old at the time of the vote
